Privacy Notice (KVKK)

1. Data Controller

Under the Turkish Personal Data Protection Law No. 6698 ("KVKK"), your personal data is processed by the ACU NeuroConnect organising team acting as data controller, within the scope described below.

2. Personal Data Processed

When you apply to, contact us about, or attend the event, the following categories of personal data are processed:

• Identity: first name, last name
• Contact: e-mail address, phone number
• Education / profession: university, department, level of study, institution, title
• Application details: participation type, poster title and abstract, author details, uploaded files
• Payment details: payment method and receipt image (card details are never stored)
• Event data: check-in record, raffle and award records, review results
• Audio-visual records: photographs and video recorded at the venue
• Technical data: page views and device/browser information for visits to the website

3. Purposes of Processing

Your personal data is processed for the planning, promotion, running and follow-up of the event and for keeping in touch with participants, in line with the general principles set out in Article 4 of KVKK and limited to the following purposes:

• Receiving, reviewing and approving applications and compiling the participant list
• Issuing the attendance certificate, ticket and QR code; check-in and name badges on the day
• Scientific review of poster abstracts; publishing accepted posters by title and author name in the programme, abstract booklet and website
• Running poster awards and raffles; announcing winners by name and institution at the venue, on the website and on our social media accounts
• Issuing and delivering certificates of attendance
• Using event photographs and video for promotion on the website, social media and printed materials
• Sending application status updates, programme changes and pre-/post-event information by e-mail and phone
• Informing you about future ACU NeuroConnect events and related scientific activities
• Payment tracking, accounting and reporting obligations
• Producing participant statistics and anonymous analyses to improve the event
• Securing the website and preventing misuse

4. Legal Basis and Method of Collection

Your personal data is collected electronically or on paper through the application form, the contact form, e-mail correspondence and on-site registration. It is processed on the legal grounds set out in Article 5 of KVKK — "necessity for the establishment or performance of a contract", "legitimate interest of the data controller", "fulfilment of a legal obligation" and "data made public by the data subject" — while the use of photographs/video and communications about future events rely on the consent you give during application.

5. Transfers

To the extent necessary for running the event, your data may be shared with the organising team, the scientific review committee, supporting institutions and project partners (aggregate statistics such as participant numbers only), certificate/printing service providers, and our hosting and e-mail infrastructure providers. Within award and poster announcements, your name, institution and study title may appear in public channels. Beyond this, your data is not transferred to third parties, sold, or used for commercial purposes.

6. Your Rights

Under Article 11 of KVKK you have the right to learn whether your personal data is processed; to request information if it has been; to learn the purpose of processing and whether it is used accordingly; to know the third parties to whom it is transferred; to request correction if incomplete or inaccurate; to request erasure or destruction; to object to processing; and to claim compensation for damages. You may withdraw the consent given for photographs/video and information e-mails at any time.
